Description
The Accounting Manager oversees all accounting and billing functions and plays a critical role in safeguarding the organization’s financial health, assets, and funds. This position maintains accurate financial and project records to support organizational growth and strategic decision-making.
Requirements
Duties and Responsibilities
Financial Management
- Oversee daily accounting operations, including billing, accounts payable and receivable, and the general ledger
- Complete accurate and timely month end reconciliations
- Maintain insurance amortization schedules and verify coverage
- Provide guidance to staff and external vendors on accounts payable and receivable procedures
Budgeting and Financial Planning
- Lead coordination of annual budgets, financial forecasts, and variance reporting
- Analyze budget to actual variances, including private versus public funding sources, and provide explanations
- Monitor accounting data and prepare financial reports for management, the Board of Directors, and key funders
- Serve as liaison with external contractors to obtain required reports by project site
- Provide budget preparation support for grant applications and fundraising events
- Track proposals, awards, and contracts to identify funding gaps and future opportunities
- Assist staff and external contractors in adjusting project and operational plans based on approvals, rejections, funding limits, and project requirements
Financial Reporting and Compliance
- Prepare and distribute timely monthly financial statements
- Track investments, reconcile accounts, manage donations including in kind services and material costs, and monitor endowments
- Manage annual audit and tax preparation processes
- Ensure completion of all required annual business and tax filings
- Serve as primary point of contact for all grant and contract financial reporting
- Supervise contract renewals
- Ensure compliance with local, state, federal, and contractual reporting requirements
- Manage invoice submissions and reporting for grants and contracts, coordinating with project teams to collect required documentation
Internal Controls and Procedures
- Ensure compliance with HomeAid Hawaii internal control policies, including budget management, cash handling, and accounting procedures
- Recommend policy updates to the Board of Directors as needed
- Review and revise standard operating procedures to improve efficiency and accuracy
Cash and Investment Management
- Monitor cash flow to ensure adequate liquidity
- Manage banking relationships, cash balances, investments, and debt reporting
Other Responsibilities
- Advise leadership on short and long term financial goals, strategies, and decisions
- Contribute to organizational strategy as a member of the leadership team
- Participate in continuous improvement initiatives to strengthen accounting operations
- Attend Board and committee meetings when requested
- Participate in professional development through trainings, conferences, and industry publications
- Perform other duties as assigned
Job Qualifications
Required
- Bachelor’s degree in accounting or finance with demonstrated experience
- Minimum of two years in a managerial role and ten years of accounting experience
- Experience preparing financial statements in accordance with GAAP
- Strong organizational skills with the ability to self start, multitask, and manage competing priorities
- Ability to adapt processes in response to changing circumstances
- Experience leading, training, and supervising staff
- Working knowledge of QuickBooks, Sage Intacct, Bill.com, Microsoft Excel, Word, Outlook, PowerPoint, Office 365, and MS Project
- Valid driver’s license and auto insurance
- Ability to pass a background check
Preferred
- Experience with construction project accounting
- CPA, MBA, or other advanced credentials
- Passion for affordable housing development and supporting individuals and families experiencing housing instability
Physical Requirements
- Ability to sit and work at a computer for extended periods
- Occasional standing, walking, bending, reaching, and lifting up to 25 pounds
- Ability to operate standard office equipment
- Hand eye coordination and manual dexterity for office tasks
- Visual acuity to read printed and digital materials
- Ability to communicate clearly verbally and in writing
- Adequate hearing and speaking ability for in person, phone, and video communication
