Preferred Qualifications Position Summary
The E-resources Accounting Specialist assists with the acquisition, administration, and maintenance of the Libraries' electronic and continuing resources, the continuity of access and discoverability of the Libraries' licensed and open access resources, as well as invoice processing, maintenance of statistics, account reconciliation, and works with various platforms to track financial data that informs collection management decisions. This position is a member of the Collections department and reports to the Assistant Director of Collections for Acquisitions and Licensing.
Knowledge, Skills, Abilities and/or Competencies
- Understanding of basic financial analysis and accounting practices, including forecasting, modeling, invoice processing, and payment workflows
- Proficiency in Microsoft Excel, including formulas, pivot tables, conditional formatting, and troubleshooting
- Knowledge of MS Office applications, especially Outlook, Word, Excel, and Adobe Acrobat
- Advanced organizational and prioritization skills
- Ability to perform clerical tasks accurately with close attention to detail and timeliness
- Effective oral and written communication skills
- Ability to troubleshoot clerical and workflow-related problems effectively
- Ability to establish and maintain productive working relationships, working both collaboratively and independently to accomplish goals
- Working knowledge of library service platforms, e-resource access and discovery systems, and related technical services tools
- Familiarity with electronic resource management issues and trends in acquisitions and collections
- Ability to extract, manipulate, and visualize data for reporting purposes
- Strong analytical and creative problem-solving skills
- Flexibility and adaptability to changing organizational priorities
- Initiative in formulating creative solutions to workflow challenges

Administers and maintains licensed and open access e-resources by:
- Assisting with setting up and maintaining access to e-resources across various library systems
- Helping track and update records related to e-resource access and long-term availability
- Testing and reporting issues with e-resource access in public-facing library tools
- Maintaining login credentials and accounts for e-resource platforms and vendor systems; saving and organizing reports from these systems
- Collecting and organizing data from library and vendor systems to support reporting and decision-making; contributing to basic data visualizations and summaries
Maintains budget tracking data and reconciles against UGA financial reporting tools for Electronic & Continuing Resources Unit accounts. Liaises with unit heads, Libraries finance team, and UGA Finance and Administration to manage financial record keeping, assisting with the resolution of payment processing problems.
Percentage of time 30 Duties/Responsibilities
Ensures timely action and appropriate tracking of various payment processes by keeping detailed and organized records, using spreadsheets, and documenting workflows. Communicates with vendors, publisher and internal stakeholders on the status of payments.
