Description
The CAM is responsible for the day-to-day management, operations, communications, and governance of the association. The CAM serves as the primary liaison between the Board of Directors, homeowners, vendors, and service providers to ensure the community is well-maintained, financially stable, and compliant with governing documents and applicable laws.
Key Responsibilities include:
Board Support and Governance
*Advise and assist the Board of Directors in carrying out their fiduciary responsibilities
*Prepare agendas, attend meetings, and provide meeting minutes
*Ensure compliance with association governing documents, state statutes, and community policies
*Prepare/assistance in creating presentations
Financial Management
*Collect, deposit, and monitor monthly HOA payments
*Preparing financial reports and statements
*Managing funds, and tax returns
*Assist in preparing and managing the annual budget
*Review and approve invoices, ensure timely bill payments
*Monitor assessment collections and oversee delinquency processes
*Soliciting bids, negotiating contracts and supply costs, managing reserve funds and accounts.
Operations and Maintenance
*Oversee vendors, contractors, and maintenance personnel
*Handling vendor paperwork and record keeping
*Conduct regular community inspections to ensure aesthetic and safety standards.
*Identifying the requirements for repair, maintenance and upgrade of shared areas and facilities
*Coordinate repairs, landscaping, and capital improvement projects
Owner and Resident Relations
*Respond promptly and professionally to homeowner inquiries and complaints
*Enforce community rules and regulations with fairness and consistency
*Facilitate effective community between the Board and owners/residents.
Administrative Duties
*Maintain accurate records and association files
*Prepare monthly management reports for the Board
*Prepare monthly financial reports for the Treasurer
*Ensure timely dissemination of meeting minutes, updates, and newsletters
Qualifications:
*Active CAM license in Florida
*2+ years of HOA/condo management or related experience preferred
*Strong knowledge of governing documents, state statutes, and association best practices
*Excellent communication, conflict resolution, and organizational skills
*Proficiency in property management and financial software
*Proficiency with QuickBooks and knowledge of accepted accounting practices
Working Conditions:
*On site office based
*Evening, weekend,
or holiday work may be required for Board meetings, special events or emergencies.
