About Us: The US Composting Council is a national non-profit 501(c)(6) association founded in established in 1990, the USCC is dedicated to the development, expansion, and promotion of the composting industry. The USCC achieves its mission – “to advance composting and promote compost use to enhance soils and provide economic and environmental benefits for members and society” – by encouraging, supporting and performing compost-related research, promoting best management practices, establishing standards, educating professionals and the public about the benefits of composting and compost utilization, enhancing compost product quality, and developing training materials for composters and markets for compost products. USCC members include compost producers, marketers, equipment manufacturers, product suppliers, academic institutions, public agencies, nonprofit groups, and consulting/engineering firms. New member outreach also includes homeowners, environmental educators, and organizations that promote green living and sustainability.
Position Overview: The Administrative Assistant is a key staff member dedicated to supporting the operations of the organization, with special attention paid to recordkeeping, logistics, and clerical support as directed by the Executive Director and USCC Staff. This is a part-time, (non-)exempt position averaging 25 hours per week. Schedule flexibility is available within standard business hours. This is a mid-level administration position.

Requirements
Key Responsibilities (Responsibilities may evolve based on organizational priorities.):
Provide cross-functional administrative support to staff across departments
Perform administrative support Tasks, including but not limited to:
o Coordinate invoices and paper mailings to members/participants, prospective members/participants, partners, conference attendees, etc.
o Collect, sort, and distribute incoming and outgoing mail.
o Field calls and make updates to the USCC phone system as needed.
o Monitor assigned general email addresses by responding or directing inquiries to appropriate staff.
o Create or review/edit/proof presentation materials.
o Proofread and provide edits for internal and external documents.
Assist with STA Certified Compost Program
o Assist participants and STA Program team during renewal cycle with application submittal, document handling, invoicing, ensuring on-time payments, and reviewing qualifications, including phone reminders.
o Keep up with phone/email inquiries throughout the year.
Assist Professional Development Team
o Assist as needed with Career Center, LMS, and Certifications
o Assist with mailing certificates and pins to CCOMs/CCPs
Assist the USCC Chapters liaison
o Assist with distributing emails, documents, and communications as needed
o Assist with compiling outreach inquiries by assembling tables, charts, etc.
Assist USCC Membership Team
o Provide support during Membership Renewal Cycle through calls/emails, data entry, document filing, invoicing, and other administrative tasks.
o Support Membership Program throughout the year with calls/emails for outreach campaigns, assisting with surveys or feedback gathering, or responding to member inquiries.
o Assist with Annual Conference preparation, including fielding registration inquiries, ordering print materials, and signage.
Annual Conference onsite support (Some U.S. travel required)
o Support exhibit/displays at outside events and conferences.
o Maintain inventory of exhibit display materials (office supplies, merchandising materials, etc.) and order supplies as needed/requested.
Meetings/Committees
o Take minutes during weekly staff meetings
o Submit minutes/reports for approval; once approved, distribute in a timely manner.
o Assist with committee communications, such as annual renewal of committee seats and documents
Perform database record-keeping activities.
o Data entry in YM database, STA Gateway program, and Constant Contact
o Routinely review membership and STA participant data for accuracy
o Update and maintain central filing system (digital and hard copies as necessary)
o Monitor databases for duplicate accounts and bouncing emails, correcting issues, and finding accurate email addresses.
o Help identify annual and interim database development priorities, based on user and team feedback, and create roll-out plans for those priorities.
Job Requirements
o Must be organized, detail-oriented, and have analytical problem-solving skills
o Passion for providing friendly and top-quality member services/experience.
o Able to handle multiple responsibilities and priorities in a fast-paced working environment while maintaining flexibility and adaptability.
o Strong written, verbal, and phone communication skills to communicate across all internal and external levels of the organization.
o Ability to type 50-60 words per minute
o Skilled in copywriting, proofreading, and editing.
o Previous experience working in an Association Management or similar work environment.
o Proficient in database organization and computer programs, including Microsoft Excel, Adobe, Word, and Outlook.
o As a remote position, the candidate is required to have Internet access and a phone that can be used for job-related communications. (USCC provides a computer/printer)
o Demonstrates a high level of productivity, ability to multitask to meet deadlines, and attention to member needs while working independently.
o For supplies and conference materials handling, the ability to lift up to 20 lbs
o Must adhere to USCC policies, including Conflict of Interest and Code of Conduct
POSITION MAIN AREAS OF FOCUS
o 70% Administrative management
o 20% Communications management
o 10% Event management
Travel: Some travel out-of-the-area and overnight travel may be expected.
Compensation: $25 per hour, part-time (25 hours/week). Overtime paid in accordance with applicable law. This position is not eligible for benefits.
